The Job - Office Administrator

Mineheart is looking for a reliable Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. Due to the varying nature of this role and busy work Mineheart is looking for a hard-working, enthusiastic, and motivated candidate who has a can-do attitude who work will work well in a small friendly team. You will need to be IT literate with all Microsoft Office programs including Excel and Outlook and have prior experience in scheduling appointments and diary management. Prior experience in financial administration including bookkeeping, processing invoices, Purchase Orders, and order processing.
*The Role's Main responsibilities Bookkeeping

Invoice payments
Support bookkeeping including organizing payroll and VAT returns and staff expenses.
Check invoices are correct from suppliers before inputting them into Brightpearl.
Handling, checking, and processing invoices
Financial administration
General office administration

Improving processes and promoting change wherever possible
Assist colleagues where necessary, including occasionally testing software as a user.
Be responsible for the accurate collection, analysis, and reporting of operating data in conjunction with senior managers.
Provide service areas with Business Intelligence and data analysis to support management decision-making and service improvement.
Creating, reviewing, and reporting department data and using this information to solve potential problems or strengthen performance.
Update and ensure the accuracy of the organization's databases.
Assist with internal and external audit processes within the functional area.
Support the annual review of performance indicators and target setting.
Ensuring that the office systems, controls, policies, procedures, and workspaces are being discharged in compliance with current regulations or legislation.
Scheduling appointments and diary management of management
Filing; manual and electronic
Sales and customer service

Handling Customer general inquiries over the phone and via email
Data input and keeping documents up to date
Processing quotes
Account management and providing excellent customer service
Scanning, the printing of documents, and general office administration
Human Resources:

Onboarding and offboarding staff.
Sending contracts to employees and clients.
Writing letters to employees regarding performance, disciplinary or memos.
Completing the recruitment process for staff including vetting.
Recording and managing employee Holiday.
Recording and managing employee absence.
Keep Employee records up to date.
Complete references for employees.
Attend investigations, disciplinarians, and or grievance hearings as note-taker as required.
Dealing with Pensions and Enrolment data administration.

IDEAL CANDIDATE: Skills & Experience

The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. As an office administrator, you will ensure the smooth running of our company's offices and contribute to driving our sustainable growth.

Familiarity with office management procedures and basic accounting principles.
Excellent interpersonal, organizational, and communications skills.
Self-starter and self-motivated
Excellent administration skills using MS Office package.
Good written and spoken English.
Numerate and literate.
Be technically competent and able to use a range of tools and software packages to fulfill your role.
Proven experience as an office administrator, office assistant or relevant role.
Background knowledge of HR.
Taking pride and ownership of tasks as well as being responsible for reporting directly to management
Is driven with the energy to engage and a passion to grow and improve systems
Has an eye for detail and accuracy
Is able to organize and manage their workloads to specific deadlines
Is highly motivated with the ability to work under own initiative
Is proficient in MS Office packages
Previous office experience is preferred
